AuthentiDate signature technology completes international procurement process

Borealis, one of the global leading vendors of plastic solutions replaced its paperbased procurement process of credit notes by electronic credit notes, signed digitally.

AuthentiDate had been selected to provide its global, long term proven signature solution. More than 200 Borealis suppliers in 10 different European countries, including Estonia, Poland, Spain and UK, do benefit already day by day from the new signature solution.

Borealis is represented in 20 countries worldwide and serves customers in more than 120 countries. "Our Shared Service Centre in Belgium operates the accounting system, con-nected to suppliers all over the world", explains Eddie van den Eede, Head of Accounts Payable at Borealis. "We intended to enhance this service with an international proven signature solution, compliant to the different local regulations. We selected the AuthentiDate technology because it has been a proven solution for many years, serving various global corporations and it smoothly integrated into our existing infrastructure."

Credit notes are generated at Borealis using the ERS method. ERS means Evaluated Re-ceipt Settlement. This method had been established throughout the manufacturing industry since the seventies and Borealis had implemented ERS with all suppliers having 10 or more invoices per month.

The ERS records are centrally generated from SAP at the Shared Service Centre Belgium and digitally signed with a qualified signature using the AuthentiDate technology. After signing the signed credit notes (ERS) are submitted to suppliers throughout Europe. To simplify handling of digital credit notes for Borealis’s suppliers, the Service Centre provides fully automated verification reports together with the digital credit note, as well as a centralized archiving facility.

Immediately after introducing the new digitally signed credit notes the benefits of the new process became obvious Borealis and its suppliers:

  • Cost reductions of more than 90% by replacing paper based processing
  • Substantial expense reduction through reduced accounting errors
  • Improved cash flow for suppliers through optimized accounting processing

It is intended to extend the new digital process into other invoicing areas to help further reduction of paper documents. Next milestones at Borealis are submitting digitally signed invoices to customers and accepting digital invoices from suppliers.
